Administrative Assistant position at Ficek Insurance Agency Ltd, located in Brandon, MB (R7A 2Y7). This is a permanent, full-time role requiring on-site attendance at the office, with shifts available on evenings, mornings, days, and weekends. The position starts as soon as possible. The successful candidate will be part of a finance and insurance team, assisting in the daily operations of an insurance business and supporting clients post-sale. The workplace is fast-paced, and staff are expected to handle multiple priorities and deadlines with strong attention to detail and customer service.

Job Duties

  • Direct staff

  • Evaluate daily operations

  • Record and prepare minutes of meetings, seminars, and conferences

  • Determine and establish office procedures and routines

  • Answer telephone and relay telephone calls and messages

  • Answer electronic enquiries

  • Compile data, statistics, and other information

  • Oversee the preparation of reports

  • Order office supplies and maintain inventory

  • Greet people and direct them to contacts or service areas

  • Perform data entry

  • Provide customer service

  • Maintain and manage digital database

  • Consult with clients after sale to provide ongoing support

Qualifications, Requirements, Skills

  • Education: Other trades certificate or diploma

  • Experience: 1 to less than 7 months in a similar capacity

  • Languages: English

  • Computer and technology knowledge: Google Docs, MS Excel, MS Outlook, MS PowerPoint, MS Windows, MS Word, SharePoint

  • Work must be completed physically on site (no remote option)

  • Willing to relocate

  • Ability to work independently, under pressure, in a fast-paced environment, with tight deadlines and repetitive tasks

  • Ability to multitask, excellent written communication, flexibility, organization, team player, accuracy, client focus, reliability, time management, adaptability, dependability, due diligence

  • Security: Criminal record check required

  • Transportation: Own transportation required
